Documentation for QC Compliance Assistant

The QC Compliance Assistant is an AI-powered tool designed to support Quality Management System (QMS) compliance within Confluence Cloud. Using Rovo AI, this app helps teams streamline document management, risk assessment, and internal audits in alignment with ISO 9001 standards and company-specific processes.

AI Agents

The app offers three specialised AI agents:

  1. QMS Document Agent: your AI-powered partner for maintaining QMS-compliant documents, which helps draft, review, and structure quality documents according to standards.

  2. QMS Risk Agent: Conducts thorough risk assessments aligned with QMS standards and helps identify, evaluate, and mitigate quality-related risks.

  3. QMS Internal Audit Agent: Guides you through QMS internal audits by assisting in planning, documenting, and conducting audits.

How to use the QC Compliance Assistant

  • Step 1: Open the AI Chat

    • Click on the Rovo Chat icon at the top of your Confluence page to open the AI chat interface.

  • Step 2: Browse AI Agents

    • Select “Browse agents” in the Rovo chat.

    • Search for the QMS agents by name.

  • Step 3: Select an Agent & Start Chatting

    • Click on the agent that fits your needs.

    • Start asking questions or requesting assistance.

Example Use Case: Conducting an Internal Audit

  1. Select the QMS Internal Audit Agent.

  2. Ask the agent to create an internal audit report for ISO 9001 clauses 4 to 5.

  3. Copy and paste the AI-generated report into a Confluence page.

  4. Use the report as a foundation for conducting the internal audit.

Prompts you can use with each agent

QMS Document Agent

  • “Can you create a Management Review Process?” When asked this, the QMS Document Agent will return a template for the Management Review Process, which you can then copy-paste to a Confluence page.

  • “Can you help me draft a Disciplinary Policy?” This will return a template for the Disciplinary Policy, which you can then copy-paste to a Confluence page.

  • “Suggest a Supplier Evaluation for Atlassian“ The Document Agent will return a supplier evaluation form for the requested supplier. Please note that if you want the Agent to fill in all the fields, you must specify it.

  • “What’s the definition of configuration authority?” It will return the definition of the term you requested.

  • “How many companies within the IT sector are certified with ISO 9001?” The Agent will show you the number of IT companies certified with ISO 9001.

  • “What do I need to do to get certified?” It will display the steps you need to follow and suggest useful links on where to find an accredited certification body.

QMS Risk Agent

  • “What would the risk assessment look like for a product launch delay?” When asked this, the QMS Risk Agent will create a risk assessment for a product launch delay.

  • “What quality risks could affect our ISO 9001 compliance?” It will display a list of quality-related risks that could affect your ISO 9001 compliance.

  • “Can you check our project documents for any missed risks?” The Risk Agent will search your Confluence site to find any project documents, identify any missed risks and present them to you.

QMS Internal Audit Agent

  • “Create a QMS Internal Audit Report for the ISO 9001 Clauses from clause 4 to clause 5“ When asked this, the QMS Internal Audit Agent will return a table representing the Internal Audit Report for the requested clauses with filled-in questions you could ask your employees during the internal audit.

  • “Create an ISO 9001 Annual Internal Audit Schedule” It will first ask you to specify how big your organization is and what type of audit schedule you prefer. and it will return a template according to your answer. The audit schedule types are:

    • Process-based Audit Schedule,

    • Clause-based Audit Schedule,

    • Department-based Audit Schedule.

  • “Create an Audit Finding Statement for the finding ‘Lack of Documented Evidence for Training Effectiveness‘.” The Internal Audit Agent will ask you to specify the type of the finding, and then it will create the statement.

  • “Conduct Root Cause Analysis for this finding” If asked within the same chat as above, it will conduct a Root Cause Analysis for the requested finding, otherwise, it will ask you to specify the finding before conducting the analysis.

  • “Create Internal Audit Opening Meeting Agenda” The Agent will suggest a meeting agenda for when conducting an Internal Audit.
